Orders & analytics
How the Orders page handles refunds, payment review and shipping; what each Analytics tab shows and who sees what.
Orders (Sales → Orders)
- Search and filter: search by email, course or order number; filters are All, Paid, Refunded, Pending shipment and Awaiting review.
- Badges: an order may carry "Test order", "Includes order bump", "Post-purchase upsell", "Refunded manually" or "Duplicate proof".
- Refunds: only one-time Stripe payments can be refunded from here — "Refund" opens a confirmation and refunds the buyer through Stripe immediately, it can't be undone. For every other gateway and for Stripe subscription orders, refund in that gateway's own dashboard (Stripe's, for subscriptions) first, then press "Mark as refunded manually". After a refund the buyer's course access is removed.
- Reviewing manual transfers: once a buyer uploads proof the order goes to "Awaiting review"; "View proof", then "Approve payment" (opens the course) or "Reject" (give a reason; the buyer is asked to upload again). You can also just "Cancel order". If the same image appears on another order it's flagged "Duplicate proof" — check carefully. If a cancelled transfer order's money does arrive later, "Actually received" reopens the order and opens the course.
- Shipping (for physical items): mark "Shipped" with carrier and tracking number, create a consignment through a logistics API, tick several orders to mark them shipped in bulk, or export the "Pending shipment list (CSV)".
- What instructors see: an instructor only sees orders that include their own courses, and the amount shown is "the list price of your courses", not their income; their share is on "My earnings".
Analytics (Analytics → Analytics)
You need the Orders permission. Numbers use your school's time zone, and you can switch between the last 7, 30 and 90 days. Apart from "Usage & coupons", the tabs are Pro plan features; other plans see an upgrade prompt. Pro features are only on while the subscription is in good standing (trialing or paid); they pause while a payment is overdue.
- Overview: revenue, paid orders, refunds and average order value for the period, a daily revenue line, plus "right now" subscription and pending-payment figures (not tied to the period).
- Revenue & subscriptions: revenue split by payment method and pricing type, revenue per course, refunds and pending payments, top customers; for subscription courses, MRR, ARPU, churn and retention.
- Course performance: completion rate per course, where students drop off most, quiz score distribution and hardest questions, the learning leaderboard. This tab is all-time, not tied to the period.
- Student growth: how new students grow over time.
- Usage & coupons: video storage and this month's plays against your quota are visible on every plan; the list of how many times each coupon was used is part of the Pro features.
Test orders (see Test your payment setup) are excluded from every money figure.
What instructors see: an instructor with the Orders permission only gets revenue, order counts, refunds, pending amounts and top customers for the order lines of courses they're assigned to (net of discount, the same figure as "My earnings"); the owner sees the whole school.
